What is a CRM? A plain-English guide.

A CRM keeps every client, conversation and opportunity in one place, so your team can reply faster and follow up reliably. Here's what that means in practice.

The short answer

CRM stands for customer relationship management. A CRM is software that records who your clients and prospects are, every conversation you've had with them, and every piece of work you might win or are delivering.

Instead of client details living in personal inboxes, phones, spreadsheets and people's heads, they live in one shared place the whole team can see.

What a CRM actually does

A modern CRM usually does four things. It collects enquiries from every channel your clients use: email, phone, WhatsApp, social media and website forms. It organises them against a client record, so you can see the whole history before you reply. It tracks opportunities through a pipeline, from first enquiry to won work. And it reminds you, or follows up for you, so nothing is forgotten.

The best CRMs also report on what's working: where your best clients come from, how quickly your team replies and how much each source is worth.

Signs your firm needs one

You probably need a CRM if enquiries arrive in several places and some go unanswered, if you rely on one person's memory to follow up quotes, if nobody can see what's happening when someone is off, or if you can't say which marketing actually brings in work.

These problems tend to appear at around three to five people. Before that, one inbox and a spreadsheet can cope. After it, things start to slip.

What about AI?

Newer CRMs include AI assistants that read incoming messages, draft replies, summarise long threads and suggest next steps. Used well, they save hours a week and make sure fast replies don't depend on who's in the office.

Look for AI that suggests rather than acts without asking, and check how your data is used.
